Booking and fulfilment: We collect your name, phone number, email address, and delivery address in order to process your rental booking and arrange delivery and collection. The lawful basis for this processing is ‘contract: we need this information to fulfil your rental agreement with us.’

Deposit and payment: We collect your bank account details (sort code and account number) to process deposit refunds. The lawful basis for this processing is ‘contract: deposit refunds are part of the rental agreement.’

Equipment condition records: We photograph all equipment before delivery and after collection. These images may incidentally capture personal information such as your address or appearance. The lawful basis for this processing is ‘legitimate interests: we maintain condition records to protect both the customer and the business in the event of a dispute.’

Booking history: We retain a record of your past rentals for financial and administrative purposes. The lawful basis for this processing is ‘legal obligation: UK tax law (HMRC) requires us to retain financial records for six years.’

How Long We Keep Your Data

We retain all customer data for six years from the date of your most recent rental, in line with HMRC record-keeping requirements. After this period, your data will be securely deleted.
